This Privacy Policy explains how Area2 (HK) Limited (“Area2”, “we”, “us”, or “our”) collects, uses, and shares personal data in connection with the HeyCS platform and website at https://dashboard.heycs.app.

1. Who we are

The data controller for account and platform administration data is Area2 (HK) Limited, a company incorporated in Hong Kong, operating the HeyCS service.

When you use HeyCS to communicate with your own customers, you typically act as the controller of that customer data, and Area2 processes it on your instructions as a processor / service provider (as applicable under relevant law).

2. Data we collect

Account data: name, email, organisation name, authentication data, role/permissions.
Service data: conversations, messages, contacts, files, notes, and configuration you store in HeyCS.
Usage / technical data: IP address, device/browser information, logs, approximate location derived from IP, and product analytics needed to operate and secure the Service.
Support communications: messages you send to us about the Service.

3. How we use data

to provide, maintain, secure, and improve the Service;
to authenticate users and prevent abuse or fraud;
to communicate service notices, security alerts, and (where permitted) product updates;
to comply with law and enforce our Terms of Service;
with your direction, to process Customer Content for AI-assisted features you enable (for example suggested replies or knowledge retrieval).

4. Legal bases (where applicable)

Depending on your location, we may rely on: performance of a contract; legitimate interests (such as securing and improving the Service); consent (where required); and legal obligations.

5. Sharing

We may share personal data with:

infrastructure and subprocessors that host or help deliver the Service (under appropriate contracts);
channel providers you connect (for example WhatsApp / Meta or other messaging platforms) as needed to send and receive messages;
professional advisers or authorities when required by law or to protect rights and safety;
a successor entity in connection with a merger, acquisition, or asset transfer, subject to appropriate safeguards.

We do not sell your personal data.

6. International transfers

Data may be processed in Hong Kong and in other countries where we or our subprocessors operate. Where required, we use appropriate transfer safeguards.

7. Retention

We retain personal data for as long as needed to provide the Service, meet legal/accounting requirements, resolve disputes, and enforce agreements. You may request deletion of your data as described on our User Data Deletion page, subject to legal retention needs and technical limitations.

We implement technical and organisational measures designed to protect personal data. No method of transmission or storage is completely secure; please use strong passwords and control access within your organisation.

To exercise rights relating to your HeyCS account, contact us using the details below or follow the User Data Deletion instructions. If we process Customer Content as your processor, we will assist you in responding to your end users’ requests in accordance with our agreement with you.

10. Children

The Service is not directed to children under 16 (or a higher age required in your jurisdiction). We do not knowingly collect personal data from children for HeyCS accounts.

11. Cookies

We use cookies and similar technologies for authentication, security, preferences, and analytics necessary to run the dashboard. You can control cookies through your browser settings; disabling some cookies may affect Service functionality.

12. Changes

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the “Last updated” date. Material changes may also be notified in-product or by email.
